Turn a wholesale seed shortlist into a clear enquiry

The most useful wholesale enquiry lets the recipient identify every requested seed article without guessing. A note asking for several kilograms of mixed vegetables may start a conversation, but it cannot define a reliable quotation. A structured shortlist gives both parties a common reference and makes later revisions easier to track. For a retailer, preparing that shortlist is also a practical check that the planned assortment is ready to buy.

Start with an identifiable line

Give each line its own number. Record the botanical name where available, the full variety designation and the supplier article code. Preserve suffixes, colour descriptions and mixture wording. These small details can distinguish separate entries within the same crop. Your internal stock code belongs in an additional column so it remains connected to the supplier reference without replacing it.

For example, a named carrot selection and a mixed-colour carrot article should be separate requests. The word carrot does not establish which one you mean. Keep a copy of the product description or a dated reference in your purchasing records so the team can recognise what was considered if the catalogue changes later.

State quantity and unit together

Write the amount and its unit on every line, even when several adjacent items use the same basis. Kilograms, grams and a stated number of seeds are not interchangeable. Avoid a general instruction such as one pack unless the pack size is already identified and confirmed. If your required quantity is flexible, give a preferred amount and a clearly marked acceptable alternative.

Separate the quantity you would like to buy from the number of retail packets you hope to produce. Packet yield may depend on the packing basis, handling loss and information that is not yet available. Keeping these figures apart prevents a planning estimate from becoming an unintended supply requirement.

Put questions beside the relevant article

Attach specific questions to the corresponding line. You might need clarification about available pack sizes, seed treatment status, documentation or the identity of a mixture. Avoid a single long paragraph of questions with no article references. A supplier can answer a line-specific query more precisely, and your team can see which uncertainties remain unresolved.

The Bulk Seeds International helps a vegetable-seed buyer move from crop groups to identifiable articles. Keep tomatoes, carrot selections and salad mixtures as separate lines rather than combining them under a general vegetable heading. Treat the resulting enquiry as a request for confirmation. A published entry alone does not establish the quantity that can be supplied, the final commercial terms or a delivery date for your order.

Make revisions visible

Date the enquiry and assign a version number. If you change an amount, send a revised complete list and highlight the changed line rather than scattering corrections across messages. Keep requested substitutions separate from confirmed substitutions. A similar name does not mean the alternative has the same characteristics or suits the same customer promise.

Before accepting a quotation, compare it line by line with the latest shortlist. Check identity, units, quantities, packing, transport arrangements and any unanswered questions. Record who approved each change. This review is particularly valuable when purchasing and product-description work are handled by different people.

Finally, save the accepted references in a format that can feed receiving checks and future reorders. The purchasing file should remain useful after the enquiry is sent. A clear enquiry reduces avoidable exchanges and creates a dependable record of what the retailer actually asked the supplier to confirm.
