Compare seed quotations without mixing weight and seed counts

Two seed quotations can look comparable because both contain a familiar crop name and a price. The comparison breaks down if one amount refers to a kilogram and the other to a thousand seeds. Retailers need a common calculation basis, but they also need to recognise when the information required for conversion is missing. A useful comparison sheet makes those limits visible before a purchasing decision is made.

Define the retail objective first

Decide what you are trying to supply. A packet sold by seed count creates a different packing task from a packet filled by weight. Record the planned retail unit, the intended quantity of packets and any handling allowance as separate assumptions. This gives the buyer a reason for requesting a particular wholesale amount and exposes questions that should be answered before ordering.

Do not assume that equal weights of different varieties contain equal numbers of seeds. Even within one species, seed size and lot characteristics can affect the relationship. A generic conversion table may help with a rough early estimate, but it should not silently become the basis for a committed packet count.

Keep the original quotation intact

Create columns for the quoted quantity, quoted unit, price basis and currency exactly as supplied. Put your calculations in additional columns. Preserving the original figures makes it possible to check the arithmetic later and prevents a converted number from being mistaken for a supplier statement. Record the quotation date and any conditions that affect its validity.

When the same unit is used, a simple normalisation can help. A price for a stated weight can be expressed per gram for an internal calculation. When the units differ, request reliable seed-count information or compare the offers through a different business measure. For an herb assortment, the Bulk Seeds International helps identify individual basil, coriander or dill references before comparing their recorded units. Different herb species should not inherit a single conversion assumption merely because they share a retail category.

Include the costs around the seed

The seed purchase is only one part of the retail unit. Add packaging, filling time, labelling and the share of transport costs that your accounting method assigns to the line. Keep estimated labour separate from verified expenditure. If the product needs additional information or a different packing process, include the work involved rather than treating every article as operationally identical.

Model more than one sales outcome for unfamiliar lines. A large quantity can appear attractive when every packet is assumed to sell quickly. A second scenario with slower demand shows how storage, tied-up cash and possible carry-over change the decision. These scenarios are planning tools; they do not predict biological shelf life or guarantee future demand.

Compare like with like before ranking offers

Check that the quotations refer to the same cultivar, article and seed form. A familiar crop name is insufficient if one entry is a mixture, one is a named variety or the references differ in documented treatment. Note any unanswered identity question beside the price so a low figure does not conceal an unresolved specification.

Use the comparison sheet to support a decision, not to manufacture precision. If an important conversion depends on information you do not have, show a range or leave the result pending. Our Turn a wholesale seed shortlist into a clear enquiry explores another part of seed purchasing preparation. The most defensible choice is the one whose assumptions can be checked and whose quantity basis matches the way your business intends to sell the seed.
